Deposits, fees & cancellation
Surprise fees are the most common complaint in rental reviews anywhere, so everything is on this page rather than buried in an agreement you sign at handoff.
This page summarizes our terms in plain language. The signed rental agreement is the binding document, and we send it before you pay anything at all.
We book by the week, not by the night
Every trailer is priced as one flat rate for the full event week, and we do not take shorter bookings. The price does not change if you come in late or leave early — a trailer that goes out for three nights costs us the same to seal, tow, place and collect as one that goes out for nine.
Every booking ends on the Monday following the Temple burn. If you need a little longer than that, talk to us — we would far rather hear from you than wonder where the trailer is.

To secure the booking
Half the rental price
Due the day you book, and non-refundable. Until it is paid the trailer stays available to anyone else.
Security deposit
$2,500
Refundable. Held against damage, trash, excessive mess and missing equipment, and returned after the post-event inspection.
Cleaning
Included
No separate cleaning fee. The deep dust-out every trailer needs is already in the rental price.
Half the rental price is what actually reserves your trailer — an inquiry, a quote and a verbal yes do not hold it. Until that payment clears, the trailer remains available to anyone else, and whoever pays first has it.

Half the rental price — due the day you book
This is what takes the trailer off the market. Until it is paid the trailer stays available to anyone else, however far along the conversation is. It is non-refundable.
The remaining half — 60 days before gates open
Charged together with the $2,500 refundable security deposit, so there is one payment at this stage, not two.

After the post-event inspection, less anything it actually covers.
Cancellation
What you have paid is what you forfeit. There is no sliding scale and no partial refund, because the money only moves twice. Windows are measured from the date gates open in 2027.

The balance has not been charged yet, so there is nothing further to pay and nothing further to lose.

By this point the balance has been charged. The refundable security deposit is not part of this and comes back to you.
Damage & dust
Not charged to you
- Dust, everywhere, in everything
- Normal wear on flooring and upholstery
- Minor scuffs and scratches
- Faded or dusty exterior
- Routine post-event deep clean
Charged against the security deposit
- Broken fixtures, windows, doors or appliances
- Torn awnings or damaged slide-outs
- Tank, plumbing or electrical damage
- Missing equipment from the inventory list
- Smoking inside, or burn damage of any kind
- Gray or black water dumped improperly
- Trash left in the trailer, packaging from shipped gear included
- A trailer left excessively dirty — spills, food waste, sewage
There is no cleaning fee, so it is worth being precise about where the line falls. Dust is not a mess — it is the condition every trailer comes back in, we expect it, and the deep clean is already paid for in your rental. What the deposit covers is the trailer coming back needing more than a clean: bags of trash, spilled food left to sit for a week, a tank problem nobody mentioned. Empty it out, take your trash with you, and the deposit comes back whole.
We photograph every trailer at handoff and at pickup, and we share both sets with you. You should photograph it too — a good rental company wants that record as much as you do.
What is never included in a rental
- Burning Man event ticket
- Vehicle pass
- Tow vehicle (unless you add delivery)
- Fuel and propane top-offs beyond what the trailer leaves with
- Ice
- Your own bedding unless you add the linens package
Several of these are available as add-ons — bedding, delivery, extra fuel and water all appear in the build step. The event ticket and vehicle pass are yours to obtain from Burning Man Project directly; we cannot sell or supply them.
Use of the trailer
- The trailer stays at your camp address for the duration. It is not to be driven or towed around the playa.
- No smoking or open flame inside the trailer, ever.
- Gray and black water must be contained and emptied only by a licensed pump-out service. Dumping on the playa is a serious violation and is charged back in full.
- The renter named on the agreement is responsible for the trailer, regardless of who is staying in it.
- Pets are considered case by case — ask before you book rather than after.
