Frequently asked questions
If your question is not here, ask us — we would rather answer it now than have it come up at handoff.
What is included in the rental price?
The price shown on each trailer page covers the trailer for the full event week, dust-sealed and prepped, with the fresh water tank filled, a starting propane tank, a basic kitchen kit, a setup walkthrough at handoff, and post-event pickup and cleaning. There is no separate cleaning fee — it is in the price, not on top of it. It does not include your event ticket, vehicle pass, tow vehicle, or add-ons.
Can I rent for just a few nights?
No. We rent by the event week, not by the night. Every trailer is one flat rate for the full week and the price does not drop if you arrive late or leave early — the work of sealing, towing, placing and collecting a trailer is the same either way. The flip side is that going in early costs nothing extra: if you are there for build week on your own Work Access Pass, those nights are already covered by the same price. Every booking ends on the Monday following the Temple burn, and if you need a little longer than that we would rather you asked us than guessed.
I am going in early for build week. Does that cost more?
No. The week rate covers the early nights as well, so there is no per-night charge on the front end. Arrange your own Work Access Pass, tell us the dates when you inquire, and we will schedule delivery so the trailer is there when you arrive.
How does add-on pricing work?
Add-ons are quoted individually rather than sold at a fixed rate, because the right answer depends on your headcount, your camp placement and how long you are staying. You pick what you want on the build page, we send a custom quote within 24 hours, and nothing is charged until you accept it.
Can you buy my groceries for me?
Not quite — you buy them, we collect them. Place a pickup order through Instacart or the store's own app at Whole Foods or Walmart and pay the store directly, then one of us picks it up in Reno and loads it into your trailer before handoff. The fee is 20% of your grocery total with a $100 minimum. Three things to know: it has to be a pickup order rather than a delivery; for anything perishable we will agree a pickup day with you so it is collected close to your handoff, and it goes straight into the trailer's fridge and freezer; and alcohol has to be collected by you, because the store will only release it to the person who bought it. Tell us the store and roughly what you are ordering as early as you can, and we will sort the timing around your delivery.
Do I need a tow vehicle?
Only if you plan to tow the trailer yourself. Each trailer page lists the tow rating required. If you do not have a suitable vehicle, add delivery and placement to your build and we will tow the trailer to your camp address, level it and set it up, then collect it after the event.
What deposits do you require?
Half the rental price is due the day you book, and that payment is what actually secures the trailer — until it clears, the trailer stays available to anyone else. It is non-refundable. The remaining half is due 60 days before gates open, charged together with the $2,500 refundable security deposit, which is held against damage to the trailer, trash left in the trailer, a trailer left excessively dirty, items missing from the trailer and returned after the post-event inspection. There is no cleaning fee on top of any of it — the post-event clean is already in the rental price.
How do I actually secure a trailer?
By paying half the rental price. That is the only thing that takes a trailer off the market — an inquiry does not, an accepted quote does not, and neither does a verbal yes. We rent each trailer to one party per event, so until that payment clears we will keep talking to anyone else who asks about it, and whoever pays first has it. The remaining half is due 60 days before gates open. If you are deciding between trailers, tell us and we will tell you honestly whether anyone else is circling the one you want.
What is your cancellation policy?
What you have paid is what you forfeit. 60+ days before gates open: you lose the half you paid to book. The balance has not been charged yet, so there is nothing further to pay and nothing further to lose. Under 60 days before gates open: the full rental price is non-refundable. By this point the balance has been charged. The refundable security deposit is not part of this and comes back to you. We do not offer credits, partial refunds or transfers to another year. We rent each trailer to one party per event, so a trailer you booked is a trailer we turned other people away from — by the time most cancellations happen, there is no one left to re-rent it to.
Is dust damage taken out of my security deposit?
No, and there is no cleaning fee either — the deep dust-out every trailer needs is already in the rental price. Playa dust is the condition we expect every trailer back in, and we do not charge anyone for it. The $2,500 security deposit covers four things: damage to the trailer, trash left in the trailer, a trailer left excessively dirty, items missing from the trailer. Dusty is fine. Full of trash is not. Empty the trailer out and take your rubbish with you and the deposit is returned in full after the post-event inspection.
Do I need a mid-week dump and water fill?
On our trailers, yes — treat it as mandatory rather than optional. The tanks are small enough that a week of normal use will fill the gray and black tanks and empty the fresh one well before you leave. We do not arrange or resell this service, but licensed pump-out and water trucks operate inside the city every year and you book them directly. Arrange it before you arrive, because they fill up fast once the event starts. Gray water cannot be dumped on the playa under any circumstances.
How much water will I actually need?
Plan on roughly 1.5 gallons per person per day for drinking, and about 3 gallons per person per day once cooking, dishes and a short daily rinse are included. Trailer fresh tanks do not usually cover a full crew for a full week, so extra potable water is the most commonly added item. There is a water calculator on our playa logistics page that does the math for your party.
Can I ship gear to you before the event?
Yes, two ways. You can pack and ship your own boxes with any carrier we accept, or you can buy what you need on Amazon and set our receiving address as the delivery address — Amazon is the only retailer we take a direct shipment from, and anything arriving from another website will be refused. Either way, add shipping to your booking and we send you the receiving address along with a package reference that is unique to you; we do not publish the address, so wait until you have it from us before sending anything. From July 1 we hold your packages and load them into your trailer before handoff. Everything must arrive by August 20, and we accept up to 20 packages per rental at up to 50 lbs each. One thing to plan for: the packaging is your MOOP. We do not unbox orders or dispose of cartons, so keep the number of shipments down, and anything left in the trailer at pickup comes out of the security deposit as trash left in the trailer.
Can I rent bikes without renting a trailer?
Yes. Bikes go out on their own — there is no trailer booking required and no minimum. Pick what you want on our bike rental page and collect them from our Reno property on your way through; they come back to the same place afterwards. We do not deliver bikes to the playa or collect them from it, so you do need to be driving through Reno. If you are renting one of our trailers as well, add the bikes inside the trailer build instead: they go out with the trailer and come back with it, so there is nothing to collect either way.
Are e-bikes available?
Yes. There are four bikes to choose from — one pedal bike and three electric, including the top-of-the-line Revv Co Surfline. Every one is on fat tires, because narrow tires sink into playa dust and stop dead, they arrive cleaned, tuned and charged, and every bike comes with a lock. Lights are a separate add-on rather than included, and they are the one accessory we would push you to take: an unlit bike after dark is genuinely dangerous and a Ranger will stop you for it. You pick models and quantities on the bikes page inside the build flow.
What happens after I submit an inquiry?
You get a reference number immediately. We review your trailer and add-on selections and send a custom quote within 24 hours. If you accept, we send a payment link and the rental agreement. The trailer is not held until half the rental price is paid.
Do you have availability for 2027?
Current availability is shown on every trailer card and trailer page. We rent each trailer to one party per event, so once a trailer is booked for a year it is genuinely gone. If the trailer you want is taken, submit a waitlist inquiry and we will contact you first if it opens up.
Can I see the trailer before I book?
Yes. We do walkthroughs in Reno by appointment before the event. Email trailersonplaya@gmail.com or call (775) 771-7521 to set one up.
Still have a question?
Email trailersonplaya@gmail.com or call (775) 771-7521. We answer questions from people who have not booked anything, and we do not consider that a waste of time.
